What stops it from making something up?

The assistant may only answer from passages found in your own documents, and every answer shows the passage it used. When the documents do not contain the answer, it says so instead of inventing one, and can hand the question to a person.

Our documents are a mess: old PDFs, scans, shared drives. Does that matter?

That is normal, and it is where we start. We index what you have, whether it lives in Microsoft 365, Google Drive or a scanner folder, tell you which documents conflict or look out of date, and test against the questions your team really asks, not a tidy sample.

How is this different from pasting into a public chatbot?

Your documents stay in your own accounts, answers are limited to those documents, and every answer carries its source. A public chatbot offers none of that. And staff pasting company files into one is a risk in itself.
